What is a lead activity log?

A lead activity log is the running history of a lead. Every form submission, email, reply, note, task, and stage move logs as a single chronological list. Your full real estate lead history sits in one place on the lead.

How do you find a lead's activity log?

Open any lead in your CRM. The lead detail drawer slides in from the right. Scroll down to the section labeled 📅 Activity. That's the activity log.

At the top of the drawer, an Activity quick-jump pill takes you straight there with one click (useful on leads with a lot of detail above the log). The lead's header card also shows a Last Activity stat that tells you the date of the most recent event at a glance.

Events display newest-first. Each entry shows an icon, a short title, and the date and time. Scroll the section to see the lead's full history.

What events get recorded in the activity log?

Sixteen event types log to the activity log. Together they form the lead history real estate operators rely on. Grouped by what they cover:

Lead lifecycle

  • ➕ Lead created (when the form is submitted)
  • 📋 Pipeline assigned
  • ➡️ Stage changed (every time the lead moves through your pipeline)
  • 📊 Score updated

Tasks

  • ☑️ Task created

Task events have one extra touch: a small Pending/Done toggle inside the activity log line. Click it to flip the task status. Task events also show a priority badge — red for high, yellow for normal, green for low.

How do you see email opens and clicks on a lead?

Two places.

The activity log records each open and click as its own event. 👁️ Email opened and 🔗 Email clicked entries show the time it happened. Useful for tracing a specific email's path — she opened it twice on Wednesday, clicked the offer link Thursday.

For the big picture, there's also an Email Activity summary card above the activity log. It shows total opens, total clicks, and the timestamps of the most recent open and click. A quick way to gauge engagement.

The summary card only appears when a lead has email engagement. If a lead has never opened an email, the card stays hidden.

Tips for tracking lead activity well

  • Check the activity log before every call. Thirty seconds of scrolling reads the lead's whole story — what they filled in, what you sent, what they opened, what stage they're in. You walk into the call with context.
  • Use the lead touchpoints log to spot stale leads. A Hot lead with "Last Activity: 14 days ago" is a flag — something to follow up on or move to Cold.
  • Don't add notes that repeat the log. If you sent the email through the CRM, the log already knows. A note saying "sent follow-up email" is noise. Use notes for things the log can't capture — gut signals, off-platform conversations.
  • Trust the email events. Opens and clicks are tracked at the Mailgun layer, so the data is real. A lead who opens your email three times is interested.

Used well, the lead activity log on every lead saves you from guessing what's already been done — so you can pick up any lead and know exactly where to take it next.

Frequently asked questions

Can I filter the activity log?+
Not today. The log is a single chronological stream. Filtering by event type (e.g., "show me only emails") is on the roadmap.
Does the log show file attachments?+
Files don't have their own log entry, but they appear in context. Form uploads show with the Lead created event (the form data includes them), and email attachments show next to the matching Email sent event.
Why don't I see SMS replies in the log?+
SMS replies log under a separate event when the inbound SMS arrives. If you're not seeing them, check that your tenant phone number is correctly configured.
How far back does the log go?+
All the way to the lead's creation. The log doesn't truncate or expire — every event is kept.
Does the log update in real time?+
Yes. When you send an email, log a call, or move a stage, the entry appears immediately. Email opens and clicks log within a few minutes of the actual open (depends on Mailgun's webhook delivery).
